Be ready to act quickly! Caparol GmbH achieved this goal with the form workflow system from prodot. Holiday applications, requirement messages or orders are quickly created with the help of a user-friendly business solution for workflow processes. The rapid and digital application processing system then enters a set approval process as a second step.

As soon as an application process is triggered within the software, the personnel involved rapidly receive the information relevant for them. This includes status updates or approval requests with links to the corresponding forms. All functions and data required for processing the applications are accessible for all involved parties after login. If signing is required, this can be provided as a digital signature, or through mouse, pen or touch entry. This enables seamless processing of applications along the workflow steps through to final approval. Traceability is an important prerequisite for the acceptance of the software within the team. That’s why the ongoing approval process is depicted on a dashboard.

Within the software, several workflow types are digitally available for various business processes. The corresponding form types can be adjusted or created at any time via the administration area without the need for software adjustments. In addition, the software solution also fulfils high security standards. It is connected to the company’s own Active Directory. The authorised login into the system excludes the possibility of messages being sent to “incorrect” recipients. The login in the user or administration area is made via single sign-on using Windows Authentication.

The software has also been created as a web application in the Bootstrap framework, which means that it’s optimised for use on mobile devices. Users can work with the app from anywhere, such as construction sites or during discussions on site with a customer. The forms are easy to use thanks to the HTML5 basis and responsive design approach. The workflow optimisation and mobile use of the application enable the company to act more rapidly and complete order-related tasks more swiftly.
