Why an AI Workshop Makes All the Difference

AI is a topic that can quickly devolve into disjointed discussions without a shared understanding. A structured workshop provides clarity, prioritizes use cases, and lays the groundwork for investment decisions—in just a few days instead of months.

Shared Understanding

After the workshop, all participants share the same understanding of the opportunities, risks, and costs associated with AI.

Prioritized Use Cases

Specific use cases with business impact and feasibility—rather than general “We should do AI” discussions.

After the workshop, everyone knows what happens next—including responsibilities and deadlines.

What is an AI workshop?

An AI workshop is a structured working session (typically 1–2 days) in which a company team collaborates with AI experts to identify opportunities, use cases, and next steps for AI implementation.

Unlike a simple presentation, an AI workshop is interactive and results-oriented: By the end, participants will have identified prioritized use cases, developed a rough business case, and established a concrete roadmap for the coming weeks.

Typical formats range from half-day kick-offs (understanding AI, gathering use cases) to one-day use-case workshops (prioritization, business case) to multi-day prototype sprints in which an initial pilot is built directly.

For small and medium-sized businesses, the AI workshop thus serves as an investment safeguard: Instead of jumping in blindly, the path forward is clarified collaboratively—resulting in a significantly higher success rate in subsequent projects.

Typical AI Workshop Formats

Not every workshop is the same. Depending on your company’s level of maturity and the desired outcome, different formats are available:

AI Kickoff (½ Day)

Inspiration and a basic understanding for the leadership team or department—the classic starting point.

Use Case Workshop (1 day)

Data collection, prioritization, and initial evaluation — the foundation for the roadmap and business case.

Department-Specific Deep Dive (1–2 days)

A focused workshop for each department (e.g., Service, Sales, HR) to address specific use cases.

AI Strategy Workshop (2 days)

Comprehensive development of a vision, portfolio, and roadmap — the foundation of the AI strategy.

Prompt Engineering Workshop

Hands-on workshop for teams that want to use AI tools and Copilot effectively.

Prototype Sprint (3–5 days)

From the use case to the first working prototype—with business and IT working together.

Governance Workshop

Developing the EU AI Act, GDPR, and internal guidelines in a structured manner — preparing for compliance.

AI Awareness Workshop

A Compact Format for a Diverse Workforce — Understanding, Boundaries, and Safe Interaction.

Best Practices for Successful AI Workshops

Six principles that will really kickstart your workshop:

  • Small group: 8–12 people is ideal. Larger groups require multiple breakout sessions.
  • Leadership involvement: Without leadership support, workshop results remain on paper.
  • Incorporate a domain expert’s perspective: AI delivers value where business units face real pain points.
  • Realistic examples: Industry case studies from small and medium-sized businesses—not just hyperscaler success stories.
  • Get specific: After the workshop, action items with assigned responsibilities and deadlines must be in place.
  • Maintain momentum: The first pilot should be launched within 2–4 weeks.

Format 3

Prototype Sprint (3–5 days)

From use case to the first working prototype. Business and IT work together, live and with real data.

For Implementers

Common Mistakes in AI Workshops

In many companies, AI workshops fail to deliver results—usually because of these mistakes:

  • Only IT staff in the room: Without subject matter experts and business leadership, ideas end up in silos.
  • Too much foundational content: Five hours of lectures, one hour of ideation—the wrong balance.
  • No prioritization: In the end, there are 50 ideas, but no one knows which one to tackle first—so the ideas gather dust.
  • No follow-up: Without documented results and clear deadlines, the momentum fizzles out.
  • Wrong timing: Without leadership support or a budget outlook, there’s no pressure to implement.

Workshop vs. Consulting vs. Training

Three formats that complement each other—each with a different purpose:

  • AI Workshop: Collaboratively developing results—intensive, short, effective.
  • AI Consulting: Ongoing support over weeks and months—from concept to operation.
  • AI Training: Focus on building knowledge—for teams that want to use AI productively on their own.
