Why AI Integration Is the Real Bottleneck Today
Four out of five companies fail not because of the AI model itself, but because of its integration into their existing IT landscape (Zapier Enterprise Survey 2025). While 36 percent of German companies are already actively using AI—double the figure from the previous year (Bitkom 2025)—only about one-third manage to make the leap from pilot projects to productive, scaled operations, according to McKinsey.
The reason is rarely the quality of the model. It is fragmented data pipelines, legacy SAP and ERP systems, isolated CRM data silos, and outdated APIs that keep AI use cases stuck at the proof-of-concept stage. Fifty-three percent of companies cite a lack of technical expertise as the biggest hurdle, while 51 percent cite a lack of personnel resources (Bitkom 2025). What’s more, Gartner expects that by the end of 2026, 40 percent of all enterprise applications will include task-specific AI agents—any organization that doesn’t have an integration-ready architecture now is building up the next mountain of technical debt.
AI integration therefore means more than just an API call: data flows, permissions, master data consistency, cost governance, and auditability must all be taken into account. prodot handles this integration work end-to-end—from architecture and interface implementation to production operations. The same team that consults, builds, and operates. More than 80 IT experts in Duisburg, with 25 years of experience in business-critical systems.
prodot – Your Partner for AI Integration into Legacy Systems
Integration Instead of Rip-and-Replace
AI layers are built on top of your existing systems—not in opposition to them. SAP, Dynamics, Proalpha, in-house developments, and Microsoft 365 remain the source of truth. Master data, permissions, and workflows are preserved, not migrated.
End-to-End from a Single Source
Architecture, data pipelines, API layers, model integration, and operations—all handled by the same team. No loss of knowledge during the handoff between consulting and implementation. 80+ IT experts in Duisburg, with 25 years of experience in business-critical integrations.
EU Hosting & GDPR from Day 1
Data residency in the EU (Azure EU region or on-premises), audit trail, authorization models, and EU AI Act classification as integral components of the architecture. Compliance is not an afterthought—it is planned from the outset during interface design.
Our Scope of Services for AI Integration
Integration Assessment
An assessment of your system landscape, data quality, and interface readiness. In two to four days, we’ll identify where AI can be implemented today, where preparatory work is needed, and which use cases promise the fastest ROI.SAP, ERP & CRM Integration
AI integration with SAP S/4HANA, Microsoft Dynamics, Proalpha, Salesforce, and HubSpot via REST, OData, SAP BAPI, or event-based pipelines. Your master data and permissions remain intact—AI logic is implemented cleanly as a layer on top.Data and RAG Pipelines
ETL/ELT workflows, vector databases, and RAG integration with SharePoint, Confluence, DMS, and file shares. AI accesses your knowledge, not public web data—accuracy and source attribution included.Microsoft 365 & Copilot Extension
Custom plugins and Copilot extensions for Microsoft Teams, Outlook, and SharePoint. AI agents access your business data—without compromising security, using Entra ID permissions and a complete audit log.API & Middleware Layer
A stable integration layer using Azure Integration Services, MuleSoft, or lightweight in-house gateways. Centralized model routing, token budgets, and error handling—rather than scattered across individual use cases.GDPR, EU AI Act & Audit
EU hosting, authorization models, and EU AI Act classification for every integrated use case. We’ll advise you and work with you to analyze what requirements must be met and which deployment/platform can meet them. The Concrete Benefits of Seamless AI Integration
-
No “rip-and-replace”: Existing SAP, ERP, and CRM investments are preserved—AI is integrated into the existing system landscape via stable interfaces.
-
First results in weeks: Clearly defined integration use cases go live in six to ten weeks—not quarters or years.
-
Scalability Instead of a “PoC Graveyard”: McKinsey observes that two-thirds of AI initiatives get stuck in the pilot phase—well-thought-out integration prevents this stagnation.
-
Cost and Drift Control: Centralized token budgets, model routing, and monitoring prevent integration costs from spiraling out of control unnoticed.
-
Compliance Built into the Architecture: GDPR, the EU AI Act, and audit requirements are factored into interface design from the start—not added as an afterthought.
AI Integration Patterns with the Highest ROI
Not every AI integration pays for itself at the same rate. prodot prioritizes three integration patterns that consistently deliver the most reliable value in practice.
Pattern recognition in ERP and financial processes. Connecting AI to SAP or Dynamics data streams for document classification, invoice verification, and anomaly detection. Gartner expects financial close times to be 30 percent faster by 2028 thanks to embedded AI in cloud ERP systems.
RAG integration with corporate knowledge. Integration with Confluence, SharePoint, DMS, and ticketing systems. Employees ask questions in natural language and receive answers with source citations—according to industry benchmarks, research efforts in support, legal, and HR decrease by 30 to 50 percent.
Agents in CRM and service processes. Integration of AI agents into Salesforce, HubSpot, or Microsoft Dynamics for lead qualification, email triage, and service escalation. Agents operate within existing permissions—not in parallel with them.

Questions & Answers
-
Do we need to replace our existing systems in order to integrate AI?
No. prodots’ approach is integrative rather than replacement-based. AI layers are overlaid on existing SAP, ERP, and CRM systems—via REST, OData, SAP BAPI, or event pipelines. Your master data, authorization models, and workflows remain fully intact. Only once an AI use case has proven effective is the integration expanded—we avoid “big bang” migrations, which multiply risks rather than reduce them.
-
How long does a typical AI integration project take?
For clearly defined use cases, it is realistic to expect initial productive results within six to ten weeks—including interface implementation, data pipeline, and pilot operation. The duration depends on data availability, the complexity of the target systems, and compliance requirements. During the initial consultation, we’ll provide a reliable assessment following a brief review of your system landscape—without a time-consuming preliminary pitch.
-
What systems does prodot typically integrate with?
SAP S/4HANA, Microsoft Dynamics 365, Proalpha, Salesforce, HubSpot, Microsoft 365 (Teams, Outlook, SharePoint), Atlassian Confluence and Jira, as well as in-house developments and industry-specific systems. On the model side, we work with Azure OpenAI, Anthropic Claude, locally hosted open-source models, and specialized industry models. Our selection is based on the use case—not the hype cycle.
-
How much does AI integration cost?
A compact integration assessment starts at approximately 8,000 to 15,000 euros. A complete integration use case, including interface implementation and production operation, ranges from 25,000 to 80,000 euros, depending on complexity. We work with fixed project budgets per phase—no open hourly rates that add up uncontrollably. Upon request, we can handle ongoing operations as a managed service starting at 3,000 euros per month.
-
How is GDPR compliance ensured during AI integration?
Data protection is an integral part of the architecture, not an afterthought. We plan for data residency (Azure EU region or on-premises), access control policies, pseudonymization, and audit logs from the very beginning. For the EU AI Act, we classify each use case by risk class and determine the corresponding documentation and logging requirements—high-risk systems require at least six months of logging. These requirements are incorporated into the interface design before the system goes live.
